This disclosure explains how Happy Light AI phone numbers and call forwarding work.
1. Dedicated AI Answering Number
Happy Light AI may provision or assign a dedicated AI answering number for the clinic branch. This number is used by the AI receptionist to answer forwarded calls.
The assigned AI number is intended for inbound voice calls only. Inbound SMS, MMS, or text messages sent to the assigned AI number are not monitored, reviewed, triaged, or answered by Happy Light AI unless a separate written agreement and product configuration expressly enables text handling. Happy Light Tech is not responsible for medical, clinical, administrative, scheduling, cancellation, emergency, or follow-up issues arising from unmonitored text messages sent to the AI number.
The clinic should instruct patients not to text the AI number. For emergencies, patients should call 911 or follow the clinic's emergency instructions.
2. No Main Number Porting
Happy Light Tech does not port the clinic's main phone number as part of the standard service. The clinic should not port its main number to Happy Light Tech unless a separate written agreement expressly states otherwise.
3. Forwarding Is the Clinic's Responsibility
The clinic, its carrier, or phone provider is responsible for configuring forwarding from the existing practice line to the AI answering number. This may include:
- no-answer forwarding;
- busy forwarding;
- after-hours forwarding;
- overflow forwarding;
- conditional call forwarding; or
- other provider-supported call routing.
Happy Light Tech may provide general instructions, but the clinic or its phone provider controls the carrier account and local phone system.
4. No Remote Access Required
Happy Light Tech does not need remote desktop access to the clinic's server, local phone system, router, or carrier portal for standard setup.
5. Call Recording and Consent
Depending on configuration, calls may be recorded, transcribed, summarized, or analyzed. The clinic is responsible for determining whether patient notice, caller consent, staff notice, greeting language, signage, or state-specific consent procedures are required.
6. Emergency, Text, and Clinical Calls
Happy Light AI is not an emergency service and does not provide medical advice. Emergency or complex clinical calls should follow the clinic's emergency escalation policy and staff follow-up workflow.
Text messages to the AI number should not be relied on for emergency instructions, cancellations, appointment changes, medication questions, pain reports, or any clinical or administrative request.
7. Carrier and Telecom Limitations
Call quality, caller ID, call forwarding behavior, voicemail behavior, failed transfers, and call routing may depend on the clinic's carrier, phone system, and third-party telecom providers.
8. Deactivation
If service is canceled or suspended, the clinic should remove forwarding rules to avoid routing calls to an inactive AI number.
