Scope
Happy Light AI provides AI receptionist software for dental practices. Public marketing pages do not collect patient protected health information. Tenant dashboard features may process call metadata, summaries, recordings, and scheduling context on behalf of a covered entity.
Zero Data Retention posture for AI call content
AI call content is designed to be processed under a zero data retention posture whenever a model provider supports it for the configured workload. We do not use patient call content to train public models. Demo content on the public website is anonymized and must not contain real patient identifiers.
Data we may process
- Account and tenant configuration, such as practice name, branch context, business hours, and notification recipients.
- Operational call metadata, including call time, duration, purpose, urgency, booking status, and follow-up status.
- Call recordings or transcripts only when enabled for a tenant and required for service delivery, support, or audit evidence.
- Public website analytics, limited to non-PHI visitor behavior and cookie consent state.
PHI safeguards
Customer-facing interfaces are designed to mask patient names, phone numbers, emails, and transcript snippets where raw identifiers are not required. Access to tenant data should be scoped by authentication, tenant, branch, and role before production launch.
Retention
Retention periods are tenant-configurable or contract-defined where applicable. Audit logs are intended to be retained as immutable compliance evidence. Public marketing analytics are retained only as needed for product and security analysis.
